When making a call to outsource or not, you need to take into account these benefits of outsourcing your PMO functions.

• Outsourcing PMO improves operational efficiency and lowers costs. The outsourced PMO is completely focused on the task at hand and understands what it takes to implement and run a PMO effectively. 

• Outsourced PMOs have subject matter expertise to develop standards and methods that form a flexible framework while quickly producing predictable and measurable results. While talent identification and acquisition is a growing issue in most PMOs, this risk can be mitigated by outsourcing.

• Another advantage is the cost avoidance associated with failed projects: those that implement the wrong solutions, take longer than expected, or go over budget. When these responsibilities are delegated to internal staff members, who are frequently pulled in multiple directions, the results are less successful. Perhaps the most significant strategic advantage is that you are now free to focus on your core business competencies and delegate the rest to KMV Consulting's PMO.

Some risks can be mitigated by contracting out your PMO or some of its functions to an external PMO like KMV Consulting. Finding the right talent to staff your PMO can be difficult – it can take time to find the right skills and training. 

• Outsourcing eliminates the risk of not being able to find the right people for your office.  Scope creep can also be reduced or eliminated entirely. Because an external PMO like KMV Consulting has clearly defined tasks and objectives, KMV Consulting cannot be asked to take on additional tasks without a new contract. 

• Cost risk can also be reduced. As we include a set fee for fixed deliverables, allowing you to know your total costs for each reporting period.

• Your company no longer needs to manage people who are putting together deliverables. There is no need to manage a process from start to finish, and no technology needs to be purchased and managed, since the PMO would already have the tools and technology.

• Furthermore, KMV Consulting's PMO will be solely responsible for PMO tasks; you will not be able to ask them to take over project functions or jump into another area of your projects at any time. With an external and outsourced PMO providing unbiased data and reporting, projects can concentrate on their tasks. There will still be documentation to complete and records to manage, but you'll be discussing some of their superfluous activities, such as budget reporting.  

When the PMO functions are external, tasks will be more clearly defined – job roles will not begin to overlap as they might in an internal project office. Furthermore, as part of the framework they support, the experts in the outside PMO will bring in strong processes and clear documentation. It will enable projects to follow a well-defined and tested path to completion, with improved processes and practices.

• We'll both agree on a variety of service level agreements (SLAs) as part of your business agreement with us, as your outsourced PMO. The type of work you contract out will be determined by what these are. Businesses are most likely to outsource admin or tooling, for which SLAs can be easily agreed upon.  

• One significant advantage of outsourcing your PMO to us is the ability to hold us accountable through SLAs. You can include financial incentives for exceptional performance as well as penalties if delivery deadlines are not met.
